Instructions for Scheduling Events and Reserving Rooms with the Calendar and Events Tool

With the Calendar and Events tool, entering an event into the Calendar, securing a room reservation and equipment for your event, and promoting it is one smooth and easy process.

This tool is for all Business School faculty and staff who need something as simple as reserving a conference room or as extensive as planning an event. It helps streamline support staff services, and promote events to the public as well as within our Business School Community.

You can use the Calendar and Events tool to plan and coordinate events and schedule associated rooms and equipment. 

What Can This Tool Do For You?

Directly Reserve and Manage Conference Rooms

All staff and faculty can reserve general purpose conference rooms directly using this Calendar tool, without the need to request a room reservation through a third party and wait for confirmation. (Specific and special-use conference rooms still are reserved through Facilities.)

Staff who do intensive event planning will have keys to reserve available rooms directly. You can choose whether your event is private, requiring an invitation, or public.

Easily Manage Your Reservations

The My Searches and Events link on the side menu lists all of your events that you can click on to edit details.

It also lists all of your department's upcoming activities for your planning information. You can set up a reservation and delegate others to manage it, or they can set it up and delegate you to manage the details.

Coordinate Promotional Services

As part of your event reservation process, you can choose to request posters, display the event on the entry-way kiosks, include it within the listing of public events on the Calendar & Events website, etc.

When setting up a high-profile or public event, you can automatically notify our Communications department by categorizing its type as an "event" rather than a workshop, room reservation, etc. This coordination serves to promote the great depth and breadth of events, seminars, symposiums, lectures, conferences and meetings that are of interest to the general public as well as our Business School Community. 

Coordinate Equipment Requests

When you set up your room reservation, you reserve the equipment you will need as part of the same process. This will automatically notify our classroom support staff of your needs.

Coordinate Multi-Media Services

You can request video-taping, web streaming and other multi-media services as part of setting up your event. Check mark these services on the Event Details tab for a representative to contact you.

Easily Search for Events

You can easily find all the events and room reservations occurring throughout the school, even those not publicly listed on the web site, by using the Search Calendar tool in the side menu.
